Situated in Midway, Utah, the Alpine Meadows HOA comprises almost 150 townhome units built in the late 1990s. Despite its charm, the community encountered significant issues over the past decade, including financial distress and deferred maintenance, leading to dissatisfaction among residents and hesitancy among potential buyers and local vendors.
During the latter half of a particularly severe Utah snow season in 2023, these challenges were exacerbated by the absence of an on-property management presence, culminating in extensive damage to the structures, such as roof leaks and a collapsed carport. The volunteer board members, though committed, found themselves ill-equipped to manage the complexities of property and maintenance issues without professional support.
Recognizing the need for expert management, K&K Property Management assumed stewardship of Alpine Meadows in March 2023. Jennifer Booth, General Manager and community resident, alongside Wade Street, Director of Maintenance, initiated a strategic plan to tackle the community's urgent needs. This plan set the foundation for K&K's approach to restore Alpine Meadows to a state befitting its potential, ensuring that management operations could withstand the demands of any season - snowy or otherwise.
Problem 1: Significant Deferred Maintenance
The deferred maintenance issues at Alpine Meadows were not just significant, they were critical. K&K Property Management inherited a legacy of neglect, which was starkly evident in the compromised infrastructure. A glaring example was the lack of functional heat tape on roughly 65% of the units, leading to an excess of roof leaks and even a collapsed ceiling due to unchecked water damage. Years of gutter neglect compounded the problem, causing backups and exacerbating roof woes. The clubhouse pool room was in a dire state as well, with failed dehumidifiers and a neglected pool area that had succumbed to drywall damage and fungal growth.
Adding to these concerns, the carports, which had stood unattended since their installation two decades ago, bore the brunt of undetected engineering deficiencies and years of wear. This neglect came to a head early in 2023 when the weight of heavy snow led to the collapse of one structure, starkly highlighting the need for structural reassessment.
Strategy: Create a Punch List & Craft a System
In the face of these challenges, K&K developed a structured approach to rehabilitation. The team drafted a detailed punch list, strategically prioritizing each issue based on severity and the practicality dictated by the seasons. The summer saw an extensive rollout of heat tape installations, financed by an updated budget and reserve study, drastically reducing the risk of water damage. Concurrent gutter repairs and cleaning were timed with these installations, preparing the community for a leak-free winter season.
Tackling the clubhouse's internal decay, K&K oversaw the repair of dehumidifiers, followed by drywall replacement, and instituted a stringent preventative maintenance routine. The pool area received multiple deep cleans and upgraded equipment such as sealed chemical tanks, enhancing both safety and the longevity of the facilities.
Addressing the carports, K&K guided the board to collaborate with a structural engineer. The result was not only the design of a robust replacement for the fallen structure but also a comprehensive plan to reinforce all existing carports, ensuring their resilience against future adversities.

K&K Property Management recognized a critical disconnection within the Alpine Meadows community. The previous management had left many responsibilities unattended, overburdening the board with tasks like subcontractor oversight and rule enforcement. Owners, in turn, were disillusioned with an unresponsive management team and maintenance requests that seemed to vanish into the ether. There was a clear need for a system that not only addressed these neglected duties but also improved communication channels within the community.
Solution: Enhancing Communication
K&K's strategy focused on constructing robust communication bridges between the homeowners and the Board of Directors, positioning the management team as an efficient intermediary. A pivotal tool in revolutionizing communication was the introduction of an owner portal. This portal was designed as a multifaceted platform where owners could not only view their payment histories and make online payments but also report and track maintenance issues. It streamlined the process of logging rule violations and submitting community requests. Beyond this, K&K leveraged mass communication tools, enabling the dispatch of emails and texts both community-wide and to targeted segments, ensuring that every voice could be heard and every concern promptly addressed.
Through these measures, K&K has fostered a renewed sense of collaboration and responsiveness within Alpine Meadows, paving the way for a community that is not only well-maintained but also well-connected.
Problem 3: Accounting & Administrative Compliance
At the heart of Alpine Meadows' organizational challenges were outdated and non-compliant accounting and administrative practices. The HOA's existing budget was a maze of overly specific categories, hindering rather than helping financial clarity. Furthermore, the process of recording formal meeting minutes was inconsistent, failing to meet state law requirements, leading to potential legal vulnerabilities. Additionally, there was a significant gap in managing HOA amenities, like RV parking and clubhouse rentals, resulting in lost revenue and accountability.
Strategy: Revamping Financial Management
Addressing the core of these issues, K&K initiated a thorough review of the HOA's budget, accounting practices, and record-keeping. We began by resetting access to the RV parking, unveiling an outdated and inaccurate reservation system that had been leaking funds. With a new, up-to-date record of users and enforced regulations, the HOA began to recover previously lost income. Similarly, K&K implemented an inspection process post-clubhouse reservations, safeguarding the community against damages and cleaning costs.
Ensuring Rule Compliance
The final piece of K&K's strategy was the establishment of a centralized system for tracking rule violations. The enhanced owner portal now includes a rule enforcement module, enabling the HOA to maintain records of infractions and enforce fines appropriately, reinforcing community standards and ensuring compliance.
